How to view serial numbers on a saved item receipt in NetSuite

Open a saved item receipt, view its inventory detail, and reconcile the serials with the quantity received.

The quick answer

Open the saved Item Receipt, confirm its source purchase order, and find the serialized item line. Select View in the line’s Inventory Detail column. Count the distinct serial assignments and compare their quantities with the receipt quantity in base units. Here, Ea is the base unit, and three serials each have quantity 1, matching the receipt line’s 3 Ea.

This check tells you which serial numbers the receipt records and whether their count matches the received quantity. It does not confirm the physical contents of the supplier’s package. The screenshots use sample data and fictional person and operating-company names.

Before you start

Have the saved receipt number and the receiving paperwork ready. Your role must be able to view the Item Receipt and any saved inventory detail. The item must use serialized inventory tracking, detail must have been saved on the receipt, and the form and your permissions must expose it in view mode. If the control is missing, ask an administrator to check the item setup, saved transaction, form, and role. A read-only view may not be available on that form.

Know the item’s unit conversion when the transaction unit differs from its base unit. For this example, Ea is the serialized base unit. Compare distinct serial assignments and their quantities with the receipt quantity converted to base units. A partial receipt’s PO quantity is not the expected count for this receipt.

01. Confirm the saved receipt

Open the saved Item Receipt for the delivery. Check its transaction number and Created From value before reading any serials. The example is IR70002, created from PO70001.

Match the receipt number and source order to the delivery you are checking.

02. Check the serialized line

On Items & Expenses → Items, find the serialized item. Confirm the item name, Quantity, and Units. Here, SENSOR-5A has a receipt quantity of 3 Ea. The example uses Ea as the serialized base unit. Use the receipt quantity for this check, not the purchase order’s full ordered quantity.

Check the received quantity and unit on this receipt line.

03. View the saved serial detail

In the same line, select View in the Inventory Detail column. Read the saved Serial/Lot Number entries in the dialog. This example shows SN-301, SN-302, and SN-303, each with quantity 1.

If your saved form does not show a View control, stop here. Do not edit or save the receipt to expose detail; ask an administrator which read-only view is allowed for your form and role.

Read the serial assignments saved with this receipt line.

04. Reconcile the count

Count distinct serial assignments and compare their total with the receipt quantity expressed in base units. Here, the receipt uses a 1:1 Each conversion: 3 Ea represents three serialized units, and the three rows each carry quantity 1. The quantities reconcile; this check indicates no quantity discrepancy. If a serial appears more than once, investigate the duplicate even if the row count matches.

If the count differs, record the receipt number, source PO, item line, quantity, and serials shown. Compare them with receiving inspection or supplier records, then follow your account’s correction process. A saved receipt shows what the account recorded; it does not prove which physical units arrived or whether someone changed the receipt later.

Three serial assignments at quantity 1 reconcile to the receipt’s 3 Ea.

Check the result

  1. The saved receipt and source PO match the delivery record.
  2. The serials are distinct and belong to the intended item line.
  3. Distinct serials are present, and their assigned quantities add up to the receipt quantity in base units.

Common questions

Which quantity should I compare with serials on a partial receipt?

Use the saved Item Receipt line quantity converted to base units, not the full PO quantity. This example checks three serials against 3 Ea on the receipt.

How do unit conversions affect the check?

Convert the receipt quantity to base units before comparing it with the serial assignments. Here, Ea is the base unit and the conversion is 1:1, so 3 Ea is three serialized units.

What if the Inventory Detail View control is missing?

The control depends on saved detail, item setup, the form, and your permissions. Ask an administrator to confirm whether this receipt has a permitted read-only view.

What if a serial is duplicated or the quantities do not match?

Investigate the discrepancy before editing the receipt. Confirm the serials are distinct and that their assigned quantities add up to the receipt quantity in base units.

Does the saved receipt prove which units physically arrived?

No. It shows the receipt quantity and serial assignments the account recorded. Compare it with receiving inspection or supplier records to check physical identity.
