How to make a long item name wrap on printed item labels in NetSuite

Customize the Standard Item Label Layout, replace the standard Display Name with a custom Display Name element that has Wrap Text, size and place it, and save the layout as the preferred Item Label layout.

The quick answer

The standard Display Name element on an item label offers no way to wrap long text. Open Customization > Forms > Transaction Form PDF Layouts, click Customize on Standard Item Label Layout, remove the standard Display Name, then use Add Custom Element to add Display Name (Item) with Wrap Text checked. Give the new element a width and height that fit the label without overlapping the barcodes, and save the layout as the preferred Item Label layout. Then print a real label to confirm it.

A long item name can run past its box on a printed label and be cut off. The cause is the label layout, not the item record, so the fix is a custom layout. This guide builds one in the layout editor. It stops at the saved layout: it does not print a label, and the Preview button on the layout page does not show a real item's name, so you check the result with a real label at the end.

Company, person and layout names in the screenshots are fictional example data. Use your own account and values.

Before you start

You need a role that can open Customization > Forms > Transaction Form PDF Layouts. Three things are worth settling first.

Check how your account prints item labels. Layouts on this page are Basic PDF layouts. If your account prints item labels from an Advanced PDF/HTML template instead, edit that template, not this layout. Printing and Fax Preferences shows which one is in use.

The preferred layout is account-wide. A copy of the preferred standard layout opens with Layout is Preferred checked, so saving it changes the default item label layout for everyone who prints labels, unless they pick another layout where the print page offers one. Decide who needs to know, and note how to go back: on the list, check Standard Item Label Layout in the Preferred column and click Submit.

Find a test item with a long display name and know your label stock size. The example label is 2.75 by 1 inch, three across and ten down, in inches. Use your own measurements.

01. Customize the standard layout

Click Customization in the navigation bar, point to Forms, and click Transaction Form PDF Layouts. The Custom PDF Layouts list sorts by type, and the Item Label rows include Standard Item Label Layout, which is preferred, Standard Large Label Layout and Standard Lot Label Layout. Click Customize on Standard Item Label Layout. The standard layout is not edited. NetSuite opens a new Custom PDF Layout.

Standard Item Label Layout is the preferred Item Label layout. Customize creates a new layout from it.

The new layout opens named Custom Item Label Layout with the same label size, margins and counts as the standard one, and with Layout is Preferred checked.

The new layout opens as Custom Item Label Layout, 2.75 by 1, with Layout is Preferred checked.

02. Name it and remove elements

Type a name in Name, for example your company initials or the date. Leave the label size, margins and counts. The element editor under the colors shows the label canvas and the Selected Element list with five standard elements: SKU/UPC Barcode, Display Name, Serial Number Barcode, Expiration Date and Price. The standard Display Name has no wrap option, and its font, bold, italic and alignment controls are unavailable. Choose Display Name and click the delete mark on its box in the canvas, then do the same for Price and Expiration Date if you do not want them on the label. The canvas keeps the two barcode elements. The source video shrinks the standard Display Name down to nothing instead. Either way it must not print.

After the removals the canvas keeps the two barcode elements.

03. Add a Display Name element that wraps

Click Add Custom Element. The Add Element window opens with a default element name such as Element 5. In Choose Element(s) scroll to Display Name (Item) and click it. The list is long and cannot be searched, so scroll to the D entries. Element Text fills in with the merge text for the item's display name, here {displayname}. Check Wrap Text and click OK. In your account the window may open as a separate popup window.

Display Name (Item) is chosen, its element text is {displayname}, and Wrap Text is checked.

The new element is now the selected element. It starts small in the top left corner of the label and sits on top of the SKU/UPC Barcode.

Element 5 is selected and starts in the top left corner of the label, overlapping the barcode.

04. Size, place and style it

Make the element big enough to hold the wrapped name and place it so it does not overlap the barcode elements. Overlapping elements can print incorrectly or not at all. In the example the barcodes use the left part of the label, so set Width to 1.375, Height to 1, Top to 0 and Left to 1.375. That fills the free space to their right on a 2.75 by 1 inch label. Work from your own label size and the positions of the elements you keep. Under Element Data Style choose a font such as Times-Roman, then click Bold and Align center if you want them. Custom elements have these controls. The standard Display Name did not.

The new element is sized and placed beside the barcodes and set to Times-Roman, bold and centred.

05. Save and check the list

Click Save. The Custom PDF Layouts list shows your layout of type Item Label, listed ahead of the standard Item Label layouts, with Preferred checked and Standard Item Label Layout no longer preferred. Submit is only needed if you change a Preferred box on the list yourself.

The new layout is the preferred Item Label layout and has an Edit link.

Check it with a real label

Open the item record with the long display name and click Print Label. In the account used to test this, the button opens the label as a PDF in a new browser tab. Look for the full name, wrapped inside its box and not overlapping anything. The layout page also has a Preview button, but it draws the layout with placeholder element names such as Display Name, so it does not show whether a real long name wraps. This guide does not show a printed label, so confirm the wrapped name on your own label stock before the next print run.

Common questions

Does the standard Display Name element wrap long text?

Do not expect it to. It has no wrap option, and its font and alignment controls are unavailable. Test it on your own label, but a custom element for Display Name (Item) with Wrap Text is the dependable fix.

Why not just edit the standard layout?

Customize creates a new custom layout from the standard one. The standard layout is not edited, so you can always go back to it.

What does the layout Preview show?

A PDF of the layout with placeholder element names, not a real item's data. It is useful for checking positions, not for checking that a long name wraps. Print a label for an item with a long display name instead.

Will this change labels for other users?

The preferred layout is an account-level setting, so it changes the default for other users who print item labels. A user can still pick another layout where the print page lets them choose one. If your account prints item labels from an Advanced PDF/HTML template, this layout is not used.

How do I go back to the standard layout?

On Customization > Forms > Transaction Form PDF Layouts, check Preferred on Standard Item Label Layout and click Submit.

Where else can I print item labels?

The Print Label button on the item record is one place. Transactions > Management > Print Checks and Forms > Item Labels is another, where you can choose a layout. Some accounts also offer label printing when receiving items, depending on setup and permissions. They use the preferred layout unless the page lets you pick one.

What units are Width, Height, Top and Left in?

They follow the account's measurement setting. The example account uses inches. Check yours before you copy the numbers.

What if the elements overlap?

Overlapping elements can print incorrectly or not at all. Keep each element inside its own area of the label, and check the canvas and a printed label.
