The quick answer
Open Reports → Inventory/Items → Inventory Profitability, choose Customize, then add Item → Name on the Filters tab. Select the items, name the custom report, and save it. The saved report keeps the short item list. Click a linked Qty. Sold value to inspect inventory activity for an item.
This walkthrough uses fictional item and account data. It shows a report for Filter Assembly and Valve Module. The same filter can help with any short list of items you review repeatedly.
Before you start
You need access to the Inventory Profitability report and permission to customize and save reports. Pick a reporting period with qualifying revenue, such as an invoice or cash sale, for at least one item. Inventory movement alone does not guarantee a populated profitability result. Your role, item and subsidiary access, and report configuration can change the rows and controls you see.
01 · Open Inventory Profitability
Go to Reports → Inventory/Items → Inventory Profitability. Read the date range and subsidiary context at the bottom of the report before comparing amounts. The starting view in this example includes three items; the saved view will keep two.
02 · Add the item-name filter
Click Customize in the report footer. In Report Builder, open Filters, expand Item under Add Fields, and choose Name. A new Name row appears in Choose Filters. This is a field filter on the report, so check that you are adding it under Item rather than choosing a similarly named field elsewhere.
03 · Choose the items
Open Select Multiple in the Name filter. In Choose Name, select Filter Assembly and Valve Module, then click Done. Both items should appear under Current Selections before you close the picker. Back in Report Builder, confirm the Name filter lists both items and close its editor with Done.
04 · Save the report
Enter a name you will recognize later, then click Save in the demonstrated builder. Some report interfaces label the action Save As when you create a named copy. This example uses Item Profitability Review. Confirm the saved report opens with that title and shows only Filter Assembly and Valve Module. Return To Customization takes you back to the builder if the filter needs changing. You can also find a saved custom report from Reports → Saved Reports → All Saved Reports, subject to role access. If you intend to share it, review the report's Audience and access settings separately; they do not grant access to underlying records.
05 · Review the item results
Set the date range you intend to investigate and click Refresh. In the example period, Filter Assembly shows Qty. Sold 3, $12,500 Total Cost, $18,200 Total Revenue, $5,700 Gross Profit, and 31.32% Gross Profit %. Valve Module remains in the same saved view, so you can compare the two items without searching the full report again. The figures are fictional; use your own account's dates, currency and costing rules when drawing a business conclusion.
06 · Inspect Quantity Sold detail
Click the linked 3 in Filter Assembly's Qty. Sold cell. Inventory Activity Detail opens with transaction types, dates, document numbers, descriptions and signed quantities. In this example it includes two item receipts and one item fulfillment. Use Back to Summary to return to the saved report.
The detail total of 11 does not equal the report's Qty. Sold 3. Read the transaction types before trying to reconcile them: the detail includes inventory movements beyond the sales quantity. The walkthrough demonstrates the navigation and the visible rows, not a line-by-line proof of the report calculation.
Common questions
Can I save the item selection for later?
Yes. The saved report retains the Item → Name filter and selected defaults. If the filter is shown in the report footer, a viewer may change it for a run without rewriting the saved definition. Reopen the report from Saved Reports when your role permits, and check its date range.
Why does an item have a blank cost or revenue cell?
The chosen period may have no qualifying revenue, such as an invoice or cash sale. Filters, transaction timing, item configuration and visible columns can also affect the result. Check the period and underlying transactions before treating a blank cell as zero profitability.
Should Inventory Activity Detail total match Qty. Sold?
Do not assume it will. The linked detail can contain receipts and other inventory movements. Identify the sales-related lines and the report definition before attempting a reconciliation.
Does Gross Profit % use cost as its denominator?
No. The documented report measure uses gross profit relative to selling price or revenue. For the fictional Filter Assembly row, $5,700 divided by $18,200 is 31.32% after rounding. Check the definition if your custom report changes the grouping or columns.
