The quick answer
Open the return that's eligible for receipt and choose Receive. On the Item Receipt, check the source RMA, item, location, received quantity, and Restock choice. In Inventory Detail, assign the required bin, status, and quantity. Save the receipt and check its generated number and source link.
The person and company names in the recording are fictional example data. This guide shows a customized desktop return-receiving form. The form's device fields, bin and status controls, and labels depend on your account, item, features, location, and role.
Before you start
You need a Return Authorization eligible for receipt under your account's workflow, a quantity still receivable, and access to receive returns. For this bin-and-status example, the relevant features must be enabled and the item and receiving location must support them. Match the physical device and quantity against the RMA before posting. The example starts with RMA-73042, one Tablet service kit, and Repair Intake as the receiving location. Check whether your item also requires serial or lot information.
01 · Open the pending return
Open the RMA and confirm the customer, item, remaining receivable quantity, and status. In this example, RMA-73042 for Example Repair Depot is Pending Receipt. Choose Receive to create the Item Receipt from that RMA.
02 · Check the Item Receipt
This example Item Receipt shows To Be Generated until save; numbering varies by account. Check Created From points to RMA-73042 and that the customer and form are right for this return. Your form may label the source link differently. The device-identifier and screen-condition fields shown here are custom to this example account, not standard fields required on every Item Receipt. The current production account used for comparison did not display them.
On the item line, keep Receive selected only for the unit in hand. Check To Location is Repair Intake, Quantity is 1, and Restock? is selected because this example puts the unit back into inventory. Clear Restock only when a non-restocking disposition is intended and supported by your process. Then choose Set under Inventory Detail. The current production form tested for this guide requires a valid To Location before that detail window opens.
03 · Assign the bin and status
In Inventory Detail, select Intake A for Bin, 8 - Good for Inventory Status, and 1 for Quantity. Choose Add and confirm the assignment appears before choosing OK. The detail quantity must reconcile to the received line quantity in the item's applicable units. A case and an individual tracked unit may be different. Use your inspection result and account rules to choose the actual status; “Good” does not by itself prove sellable availability or that inspection occurred.
04 · Save and check the receipt
Choose Save after reconciling the quantity, Restock choice, location, and inventory detail. The example shows a green Transaction successfully Saved message and illustrative receipt number IR-1. Numbering varies by account. A saved record confirms the transaction in this synthetic walkthrough; it cannot confirm that the physical device matched the RMA.
Open the saved receipt details. In this synthetic record, Created From shows RMA-73042, To Location shows Repair Intake, Bin shows Intake A, Inventory Status shows 8 - Good, Restock shows Yes, and the item line shows one unit. Some accounts require a separate Inventory Detail view to check the saved assignment. The source walkthrough shows a saved receipt but does not independently show every posted detail value. Credit or refund processing and any later repair Work Order are separate workflows.
Common questions
Why can't I open Inventory Detail?
On the production form tested for this guide, set a valid To Location before opening Inventory Detail. Other accounts may inherit the location or use another label. If the control is still unavailable, check the item's bin, Inventory Status, serial or lot setup, the location, and your role's access.
Does a saved receipt prove the device passed inspection?
No. The saved receipt confirms a NetSuite transaction. The device match and inspection are physical checks. Custom verification fields and a status such as Good record selections; the receipt alone does not prove the checks happened.
What if the Inventory Detail quantity does not match the receipt quantity?
Correct the assignment before saving. In this example, one unit is received and one unit is assigned to a bin and status. If only part of the authorized return arrived, receive that smaller quantity. For serialized or lot-numbered items, enter the required tracking details too.
Does receiving the RMA put the item back into inventory?
Check Restock and the item's inventory behavior. The example selects Restock. A bin and status describe where and how the quantity is recorded; they do not replace that choice.
Must every returned item have a bin and inventory status?
No. These fields depend on the item, location, enabled features, form, and permissions. This example uses both, so the receiving assignment includes both.
Does receiving the RMA create a repair Work Order?
This walkthrough stops at the saved Item Receipt. Repair Work Order creation and status changes are separate account-specific steps.
