The quick answer
In the SCM Mobile app, open WMS, pick the warehouse, then choose Receiving > Purchase Order > Select PO From List and select the PO. For each line on Enter Item, select the item, keep the inventory status on Good, type the quantity and select the receiving bin. When the last line is done, PO Received appears. Reload the PO on the desktop. It reads Pending Bill, and Related Records > Receipts & Bills lists the item receipts.
The screenshots show sample data. Person and operating-company names are fictional. Use your own records and values when following the steps.
Before you start
The account needs NetSuite WMS and the SCM Mobile app, a bin-managed warehouse with a bin for received stock, an approved purchase order with ordinary inventory items to receive at that warehouse, and a user who can receive. The PO location has to match the warehouse you select in the app. Outsourced orders, drop shipments, special orders and lines linked to an inbound shipment can follow other flows. This account posts item receipts automatically. If the WMS rule Manually post item receipts? is on in yours, the receiving steps are the same and the receipt is created later from Post Item Receipt.
Lot-controlled and serialized items add a lot or serial page before the bin. Menus, columns and the number of receipts depend on your release, your role and your WMS system rules, so match each screen by its title.
01. Check the purchase order
Open PO71442 on the desktop. It is Pending Receipt, and the button row still offers Receive. On the Items tab, Received reads 0 on all three lines: CBL-310 for 12, CLP-120 for 24 and SCR-900 for 60.
02. Open Purchase Order receiving and select the PO
Receivers normally open SCM Mobile on their device. In an account that offers it, Setup > Custom > Mobile - App opens the same app in the browser. On Select Application, choose WMS. On Select Warehouse, choose Northgate Depot. On Main Menu, choose Receiving, then Purchase Order.
PO Receiving accepts a scanned or typed PO number. It also has buttons to find a PO by vendor, item or manufacturer part number. Choose Select PO From List. Select PO # lists the open purchase orders with their vendor and line count. Select PO71442, which has 3 lines.
03. Receive the first line
Enter Item lists the three lines with the quantity received so far and the quantity remaining. Select CBL-310.
On Enter Quantity, Quantity Remaining shows 12 Each(1). Keep Inventory Status on Good, type 12 and keep the unit on Each. The unit list also offers cases and other units your item allows. Choose Enter Quantity.
On Enter Bin, select PRE-INSP-01 in the bin list. You can also scan or type the bin and choose Enter Bin. The bin comes from your warehouse setup. Here every line goes to one pre-inspection bin.
04. Receive the other two lines
The app goes back to Enter Item, and the list now holds two lines. The finished line has left it. Turn on Show Completed and a second list appears below the first with CBL-310, Received 12 Each(1) and Remaining 0. Turn it off again.
Select CLP-120, type 24, choose Enter Quantity and select PRE-INSP-01. Then select SCR-900, type 60, choose Enter Quantity and select PRE-INSP-01. Each line goes through the same three pages and returns to a shorter list.
05. Read the PO Received message
After the last line, PO Received says that all items for PO71442 have been received and that the item receipts were posted. That wording fits automatic posting. With Manually post item receipts? on, the work is recorded and the receipt still has to be posted. Either way the message does not bill or close the PO. Choose Main Menu or Receive Next PO when you are done on the handheld.
06. Confirm the status on the desktop
Reload PO71442. The status reads Pending Bill in this account, and the buttons now offer Bill and Authorize Return instead of Receive. Until the last line is received the status stays Pending Receipt, or reads Partially Received once some quantity is in.
On the Items tab, Received now equals Quantity on every line.
07. Open the item receipts
Open Related Records, then Receipts & Bills. Three Item Receipt rows list IR71451, IR71452 and IR71453 with the link type Receipt/Fulfillment. In this account each line you submitted on the handheld posted its own receipt, so three lines gave three receipts. The columns on your form can differ.
Select the date on a row to open the receipt. It shows a Created From link back to PO71442 and the one line it received.
Check the result
- PO Received appeared after the last line.
- PO71442 reads Pending Bill and Received equals Quantity on all three lines.
- Receipts & Bills lists the item receipts, and each one links back to the PO.
Common questions
Why did receiving three lines create three item receipts, and can I get one?
In this account each line you submitted posted its own item receipt. NetSuite groups receipts according to your setup, so open Related Records and read the receipt numbers before you tell anyone how many exist. With the WMS rule Manually post item receipts? on, receiving records the work and the receipt is created later from Post Item Receipt. That receipt covers the quantities received since the previous receipt for the order, which can be several lines.
What does Show Completed do on Enter Item?
Fully received lines drop off the main list. Show Completed adds a second list below it with those lines, their Received quantity and a Remaining quantity of 0. With manual receipt posting, a finished line can still be waiting for its item receipt.
What does Pending Bill mean, and what comes next?
Every receivable line is received and billing is still open. The next step is entering the vendor bill from the PO, usually with the Bill button. Your form can word the status differently, for example Pending Billing. A PO with quantity still open reads Pending Receipt or Partially Received.
Does PO Received close or bill the purchase order?
No. It confirms that the receivable quantities were received and, with automatic posting, that the receipts posted. Billing and closing are separate steps on the PO.
The PO still shows Pending Receipt after I received on the handheld. Why?
Reload the PO first, because the desktop page does not refresh itself. Then check the Received column on the Items tab. If a line has quantity left, the status stays open until you receive it. If manual posting is on, check that the receipt was posted. Closed lines and lines linked to an inbound shipment are left out of direct PO receiving.
What changes for a lot-controlled or serialized item?
The app asks for the lot or serial numbers before the bin. The rest of the sequence stays the same: quantity, bin, then back to the list.
Where does the stock go after Enter Bin?
Into the bin you selected, which here is a pre-inspection bin. Moving it to its storage bin is a separate putaway step. If your warehouse does not stage received items, receiving can place the stock straight into its storage bin.
