Receive a multi-PO inbound shipment and trace its receipts in NetSuite

Receive five inbound shipment lines from two purchase orders, check processing results, and reconcile each item receipt with the received shipment.

The quick answer

Open the inbound shipment, choose Receive, confirm the selected lines, receiving locations and quantities, then save. On Process Status, refresh the request and open Complete. Follow the actual item receipt links in Processed Records, check each receipt's purchase order and items, then return to the shipment and reconcile Quantity Received with Quantity Expected.

An inbound shipment can contain eligible lines from several purchase orders, and several processed rows can link to the same receipt. This example follows five lines through two generated receipts so you can check the saved records instead of counting result rows.

Screenshots come from a simulated walkthrough and use fictional person and operating-company names.

Before you start

Use an existing In Transit inbound shipment with goods ready to receive. Your account needs Inbound Shipment Management, permission to receive the shipment and view item receipts, valid receiving locations, and an open posting period. Confirm that the source purchase orders are approved and receivable where approval applies. Check that the location and units are valid for the items and subsidiary, and that the quantities still available to receive match the delivery. Available fields, default selections and actions can vary by role, form and enabled features.

This example receives all five lines at Reno Warehouse, in Each units. The items are ordinary inventory items that did not require lot, serial, bin or inventory-status detail in this example. Complete any inventory detail required by your own items and account before saving. Freight allocation, GL reconciliation, WMS and partial receiving are outside this walkthrough.

01. Confirm the shipment lines

Open shipment 7102, external document HRC-2063, and check that its status is In Transit. On Items, confirm these PO and item relationships:

  • PO6501: CP-284, quantity 6; NR-593, quantity 4.
  • PO6502: FL-837, quantity 7; HB-462, quantity 9; CL-958, quantity 11.
Check each PO and item before receiving the shipment.

In this example, Quantity Received is zero on all five lines. Check the five Quantity Expected values and the receiving location. Horizontal scrolling may be needed to see all columns.

The five lines are expected in these quantities, in row order.

02. Receive the full delivery

Choose Receive. On Receive Inbound Shipment, check Date and select the appropriate Posting Period. The example uses October 8, 2026, displayed as 10/08/2026, and Oct 2026. Use your accounting policy and account date format for a real receipt.

Use the receipt date and open posting period appropriate for your account.

All five Receive checkboxes are selected. Match each selection to the intended PO and item.

The full delivery includes every line from both purchase orders.

Review Receiving Location and Quantity to be Received on every selected row. Here, all five lines go to Reno Warehouse and the full quantities are 6, 4, 7, 9 and 11 Each.

Review all five quantities before saving.

Choose Save after the line checks. On Process Status, choose Refresh and inspect the receiving request. This example reaches Complete, 100%, and 0 Errors. Those values describe the processing request; check the resulting receipts next.

Open Complete to inspect the results. Enlarge the image to see 100% and 0 Errors.

03. Trace the processing results

Open Complete to view Processed Records. Check Line Status, Result, Result Record, and any Error Message. The five rows here show Complete and Success with no error message.

Five processed rows link to two distinct item receipts in this example.

The first two rows link to IR9301; the last three link to IR9302. Follow each distinct receipt link. Use these actual result records to establish the grouping for this request. The example does not establish a universal one-receipt-per-PO rule.

Open IR9301. Check Created From: Purchase Order #PO6501, then check its two item lines: CP-284, quantity 6, and NR-593, quantity 4, both at Reno Warehouse.

IR9301 contains the two PO6501 quantities. Enlarge the image for the item and Created From context.

Return to Processed Records and open IR9302. Its Created From is Purchase Order #PO6502. Confirm FL-837, quantity 7; HB-462, quantity 9; and CL-958, quantity 11, again at Reno Warehouse.

IR9302 contains the three PO6502 quantities. Enlarge the image for the item and Created From context.

04. Reconcile the received shipment

Return to shipment 7102 using Recent Records. Compare Quantity Received with Quantity Expected line by line. In this full-delivery example, both columns contain 6, 4, 7, 9 and 11. Match each line by PO and item as well as quantity; row order alone is not enough.

Every received quantity matches its expected quantity in this full-delivery example.

Confirm that the shipment status is Received.

Check the shipment status after reconciling the receipt contents.

Each line also shows 1 under Related Transactions. The receipt links and saved receipt contents already establish which lines share a receipt. A count alone does not identify the receipt or prove its contents.

Use the actual receipt records to establish which lines share a receipt.

Finish when the process completed without errors, every intended line appears on the checked receipts, each receiving location and quantity agrees, and the shipment reflects the full receipt.

Common questions

Do five processed rows mean five item receipts?

Count the distinct receipt IDs and open the records. In this example, five successful rows link to two item receipts: IR9301 holds two lines and IR9302 holds three. Use the results for your request rather than assuming one receipt per PO or per line.

What should I check on each item receipt?

Check Created From, the item list, quantities, receiving location and receipt date. For shipment 7102, IR9301 traces to PO6501 and contains quantities 6 and 4. IR9302 traces to PO6502 and contains quantities 7, 9 and 11. Both use Reno Warehouse.

How is Complete different from Received?

Complete describes the receiving process submission. Check its percentage, error count and result records too; the example shows 100% and 0 Errors. Received describes the inbound shipment after all expected quantities have been received. Verify both the processing result and the shipment quantities.

Do I need inventory detail before saving?

That depends on the items and account setup. The ordinary inventory lines here did not require a separate inventory-detail entry. Lot, serial, bin and inventory-status requirements can add fields that you must complete before saving.

Why can Quantity Remaining be zero before the goods are received?

On the inbound shipment item grid, Quantity Remaining can describe PO quantity still available to assign to shipments. It can be zero when all ordered units have been assigned, even while Quantity Received is zero. Use Quantity Received and the saved receipt records to verify physical receiving.
