How to move lot stock to a QA bin and hold it in Quarantine in NetSuite

Set To Status to Quarantine on a Bin Transfer line to move part of a lot to a QA bin and hold it in one transaction, then check that the stock stays on hand but is no longer available to commit.

The quick answer

Enter a Bin Transfer, open Inventory Detail on the item line, and set To Bins to the QA bin and To Status to Quarantine on the same row. One transaction then moves the stock and holds it. The hold comes from the status. Quarantine keeps stock out of new commitments because its Make Inventory Available For Commitment box is cleared, and a bin named QA does nothing on its own. In the example, 6 of the 24 cartridges in lot LOT-2026-118 move from RCV-02 to QA-01. The location still shows 60 on hand, and with nothing else changing the item, Quantity Available drops from 60 to 54.

The screenshots show sample data. Person, company, item and bin values are fictional.

Before you start

The account needs Inventory Status, bin management and lot-numbered inventory support, and the location has to use bins. The source bin has to hold enough of the lot in the status you're moving from, and the destination bin has to belong to the same location. A Quarantine status has to exist already. Check it first, because a status only holds stock when its availability boxes are cleared. You'll need permission to view inventory statuses and items and to enter Bin Transfers. If a quality workflow or SuiteApp already creates quarantine movements in your account, check before you also move stock by hand, so you don't duplicate its movement.

A Bin Transfer moves stock inside one location. To move stock to another location, use an inventory transfer or a transfer order instead. If the units you're holding might already be committed to an order, read the note at the end of step 5 before you rely on the result.

Menu names, popup columns and tab layout depend on your release and the features you've turned on.

01. Check what Quarantine does

On the Lists menu, point to Supply Chain and choose Inventory Statuses. The list shows Good, Quarantine, Damaged and Repair. Open Quarantine.

Both availability boxes are cleared on Quarantine.

Make Inventory Available For Commitment and Make Inventory Available For Allocation And Planning are both cleared. Stock in this status stays on hand, but new orders can't commit it and planning doesn't count it as supply. If the commitment box were checked, moving stock into Quarantine would hold nothing. Leave the record as it is. Once a status has been used on transactions, its availability settings usually can't be changed, so decide how a status should behave before you use it.

02. Note the starting stock

On the Lists menu, point to Accounting and choose Items, then open EA-220 Epoxy Adhesive Cartridge. On Purchasing/Inventory, open Locations with the Inventory view. Lakeshore Warehouse shows Quantity On Hand 60, Quantity Committed 0 and Quantity Available 60.

Quantity Available starts at 60.

Open the Inventory Detail tab. RCV-02 holds LOT-2026-118 in Good with 24 on hand, and RCV-03 holds LOT-2026-121 in Good with 36.

The starting lots are assigned to RCV-02 and RCV-03. Enlarge to see statuses and quantities.

03. Move and hold the stock on one Bin Transfer

On the Transactions menu, point to Inventory and choose Bin Transfer. Select Lakeshore Warehouse in Location and enter the memo "Wet cartons at receiving, hold for QA". On the Items sublist, select EA-220 Epoxy Adhesive Cartridge and enter 6 in Quantity. Then click the Inventory Detail icon on the line.

Enter 6 in Quantity, then open Inventory Detail.

In the popup, select LOT-2026-118 in Serial/Lot Number, RCV-02 in From Bins and QA-01 in To Bins. From Status stays at Good. Select Quarantine in To Status and enter 6 in Quantity. The quantity is in the line's units, Each here, and the total in Inventory Detail has to equal the line quantity, which is 6. If other warehouse activity is running, recheck the source bin and lot just before you save.

From Status stays Good; To Status is Quarantine. Enlarge to see the lot, bins and quantity.

Click OK in the popup, click Add to commit the line, then click Save.

04. Check the saved transfer

The saved Bin Transfer shows a confirmation, Lakeshore Warehouse and one EA-220 line with a quantity of 6.

The transfer saved successfully. Enlarge to see the location and item line.

Open the line's Inventory Detail. The row reads LOT-2026-118, From Bins RCV-02, To Bins QA-01, From Status Good, To Status Quarantine and Quantity 6. The destination row shows Quarantine, so the stock moved and was held in the same transaction.

The saved row records Good as From Status and Quarantine as To Status.

05. See what the item shows now

Open EA-220 Epoxy Adhesive Cartridge again. On Purchasing/Inventory, in the Locations list with the Inventory view, Lakeshore Warehouse still shows Quantity On Hand 60 and Quantity Committed 0, but Quantity Available is now 54. The 6 held cartridges are in stock and no longer available to commit.

Quantity Available is now 54. Enlarge to compare on hand and committed.

On the Inventory Detail tab, LOT-2026-118 now has two rows. RCV-02 holds 18 in Good and QA-01 holds 6 in Quarantine. LOT-2026-121 in RCV-03 is unchanged at 36.

The Inventory Detail tab now has a Quarantine row. Enlarge to see its lot, bin and quantity.

The Available column on this tab is counted for each bin and status and doesn't apply the status settings, so the Quarantine row still shows 6 there. The Quantity Available in the Locations list is the figure orders commit against.

Check the result

  1. The saved Bin Transfer row shows From Status Good and To Status Quarantine, with RCV-02 as the source and QA-01 as the destination.
  2. Lakeshore Warehouse still shows 60 on hand.
  3. Quantity Available is 54, which is 6 lower than before the transfer.
  4. The Inventory Detail tab has a QA-01 row for LOT-2026-118 in Quarantine.

A Bin Transfer isn't a commitment tool. Commitments are tracked at the item and location level, so the transfer can move stock that an order already counts on, and saving it doesn't reliably release or recalculate that commitment. If the units might be committed, check the open orders and use your usual reallocation process. When quality clears the stock, use an Inventory Status Change to set it back to Good if it stays in QA-01. If it also has to move, enter another Bin Transfer with To Status set to Good. Moving the units out of QA-01 without changing To Status leaves them in Quarantine.

Common questions

How do I move stock to a QA bin and quarantine it in one step?

Enter a Bin Transfer, open Inventory Detail on the item line, and set To Bins to the QA bin and To Status to the status that holds stock, such as Quarantine, on the same row. For a lot-numbered item, also select the lot on that row. The total in Inventory Detail has to match the line quantity.

Where do I set To Status on a Bin Transfer?

In the Inventory Detail popup of each item line, next to From Bins, To Bins and From Status. It isn't a header field. Each row can have its own To Status, so one line can move some units into Quarantine and leave others in Good.

Does moving stock into a QA bin make it unavailable to sales orders?

No. Availability follows the status. Stock in a status with Make Inventory Available For Commitment cleared stays on hand but can't be committed. If you move stock into QA-01 and leave To Status at Good, it stays available.

Why is Quantity Available lower than Quantity On Hand after the transfer?

Quantity On Hand counts every status. Quantity Available counts only statuses that are available for commitment, less what's already committed. The 6 units in Quarantine are on hand but excluded from available, so 60 on hand becomes 54 available, as long as nothing else changes the number.

What's the difference between a Bin Transfer and an Inventory Status Change?

A Bin Transfer moves stock between bins at one location and can change its status in the same transaction. An Inventory Status Change reclassifies stock where it already sits, with the location, Previous Status and Revised Status set in the header. Use the transfer when the stock also has to change bins.

Does a Bin Transfer that changes status post to the general ledger?

No. A Bin Transfer is nonposting. It creates no GL entry and doesn't change inventory value or the total on hand at the location.

How do I move quarantined stock back to Good after inspection?

Enter another Bin Transfer with the quarantined bin as the source, Quarantine as From Status and Good as To Status, or record an Inventory Status Change if the stock stays in the same bin. Moving it to another bin while leaving To Status at Quarantine keeps it in Quarantine.

Why does the Inventory Detail tab still show the quarantined units as available?

The Available column on that tab is counted for each bin and status and doesn't apply the status settings, so a Quarantine row shows its on-hand quantity there. Read the Quantity Available in the Locations list instead.

Can a Bin Transfer move stock that is already committed to an order?

Don't assume it's freely movable. Commitments aren't tracked per bin, so the transfer may be allowed, but saving it doesn't reliably release or recalculate the commitment. Check the affected orders and use your usual reallocation process.

Why did an existing sales order stay committed after I changed the status?

A status change mainly affects what new demand can commit. It doesn't necessarily release or recalculate commitments that were already made, so review those orders separately.

Can I quarantine stock without moving it to another bin?

Yes. Use an Inventory Status Change if the stock should stay where it is. A Bin Transfer is the right choice when it also has to change bins.

Can I move stock to a QA bin without holding it?

Yes. Leave To Status at Good and the stock moves but stays available. That's a physical move with no hold.

What does Make Inventory Available For Allocation And Planning control?

Whether supply allocation and planning count the stock as supply. It's separate from commitment availability. Quarantine clears both in this example, but a status can clear one and keep the other.

Can one lot sit in several bins or statuses?

Yes. After this transfer LOT-2026-118 has a Good row in RCV-02 and a Quarantine row in QA-01. In Inventory Detail, pick the exact lot, bin and status row you mean to move.
