The quick answer
Open Transactions > Inventory > Replenish Location by Transfer Order. Choose one source warehouse and one destination, review the destination's shortage and suggested quantity, and select the item. Check Create Transfer Order Based on Available Quantity if the recommendation should use the source availability limit, then click Submit. Follow the process result and open the generated transfer order from its number link.
The names and values in these screenshots are fictional sample data. Use your own locations, items, and quantities. The recording shows one synthetic order; it does not show current account recommendations or a production approval.
Before you start
Enable Multi-Location Inventory and Advanced Inventory Management. The item needs a Reorder Point and Preferred Stock Level for the destination location. A zero is valid; a blank field leaves the item out of reorder calculations. The item must be at or below its reorder point for the worksheet to list it. Your role also needs access to the replenishment worksheet, both locations, the item, and the resulting transfer order. Transfer-order approval access is needed if your account requires approval.
The example below follows a worksheet with Tacoma Warehouse supplying Portland Service Center. Its item and quantity are synthetic. On the current production worksheet, the selected filters returned no recommendation rows, so treat the screenshots as a walkthrough of the page and a sample result, not account data.
01. Set the worksheet policy
Go to Transactions > Inventory > Replenish Location by Transfer Order. The current date fills in automatically; change it if needed because it becomes the order date. Set From Location to the warehouse that supplies stock and To Location to the one destination you are reviewing. In OneWorld, select the source subsidiary first; the destination subsidiary is optional and controls which locations are available.
Department and Class can be set on the generated order. If you use Distribution Resource Planning, select Use Distribution Network to apply its configured source and destination relationships. With Multiple Units of Measure enabled, choose whether to display quantities in the base or stock unit.
Check Create Transfer Order Based on Available Quantity when the worksheet should limit the recommendation to stock available at the source. The worksheet shown below has this option unchecked and Distribute Manually selected. The video later shows Distribute Evenly Across Locations selected with one destination in scope, but it does not compare allocation methods or their results.
Review the selected Shortage Calculation Method against your account's replenishment policy. The recording shows the even distribution option selected, but it does not establish how other methods calculate quantities.
02. Review the shortage
In Reorder Point Items, select View Shortages Only if useful. Compare the destination's Available, Back Ordered, On Order, Reorder Point, and Preferred Stock Level values. The row can also show Lead Time and Transfer Price. Review the warning and suggested Transfer Quantity before checking the item box. The calculator icon shows the inputs used to calculate a suggested quantity. Confirm the source-availability policy before submitting.
This sample row is marked for transfer. It shows a quantity of 14 Ea at a transfer price of 42.00. The worksheet's Available column is the destination balance. The source video and current production worksheet do not show a numeric source on-hand balance, so treat these order values as synthetic examples. Transfer Price comes from the item record; its accounting treatment depends on the account's transfer-cost preference.
Check any reorder multiple before submitting. If the source shortage prevents the worksheet from satisfying the item's required multiple, it may suggest zero. A zero quantity is a reason to review the inputs and policy, not a transfer to submit.
03. Submit and check the result
Select the item you want to replenish, then click Submit. The demonstrated workflow creates one transfer order for the selected source and destination. In OneWorld, the subsidiary relationship determines whether the result is a standard or intercompany transfer order. Submission creates the order; it does not move stock. The status page lists the process state and links to the generated order by its transfer-order number.
The process can show Not Started and In Progress before it finishes. Check the existing process row while it runs rather than submitting the same worksheet again.
Those states and order values come from the source demonstration and synthetic fixture. Complete means the order-creation process finished; it does not mean the transfer order was approved or fulfilled. A status row in this guide is not evidence that your account has run the process.
Open the transfer-order number and check its source, destination, item, and quantity. The sample order is TO-7402 for 14 Transfer Pump Kits, with a total of 588.00.
04. Check approval
The initial order status depends on the account's default transfer-order status and approval routing. In the sample, the order is Pending Approval and exposes Approve and Reject actions. After approval, the example changes to Pending Fulfillment. These statuses can vary by account preference.
The source demonstration then approves the order. Its confirmation says the transfer order was successfully approved, and the status changes to Pending Fulfillment.
Current production approval behavior was not exercised in this walkthrough, so verify the status and approval path in your account. Approval does not move stock. Fulfillment and receipt are separate steps performed later; fulfillment moves stock out of the source and into transit, and receipt adds it to the destination.
Common questions
What item settings are required for replenishment?
The destination item needs both a Reorder Point and Preferred Stock Level. Zero is valid, but leaving either field blank excludes the item from reorder calculations.
What does the worksheet's Available column represent?
Available is the item's balance at the destination location. It helps determine whether that location needs replenishment.
Does Create Transfer Order Based on Available Quantity show source inventory?
No. The setting constrains the recommendation by inventory available at the source, but the walkthrough does not show a numeric source on-hand value.
Does Complete mean the transfer order was approved or fulfilled?
No. Complete means the order-creation process finished. Approval, fulfillment, shipment, and receipt are separate stages; fulfillment and receipt happen later.
Are the order number, quantity, price, amount, and statuses fixed results?
No. TO-7402, 14 Ea, 42.00, and 588.00 are synthetic examples, not expected values. Transfer price and amount depend on account settings. Initial status and approval requirements depend on routing and preferences.
